What Sources and Data Are Used?
AnnuCal provides a tool for inputting, editing, managing, and tracking annual plans. The software includes features such as displaying holidays, school vacations, and more.
Users of AnnuCal can create personal accounts in accordance with the terms of use, with their data processed and managed automatically by AnnuCal. Personal data is processed solely through input forms provided by AnnuCal and is handled automatically, without influence or access by any employees of the provider.
Relevant personal data processed during the use of AnnuCal may include: name, email address, preferred language for using the software, vacation data, holiday regulations, and custom data fields in the digital personnel file.
How Is Personal Data Transparency Ensured?
When using AnnuCal, users are informed about which data is necessary in each instance. For example, if a user wishes to create an AnnuCal account, they are prompted to provide specific personal data, such as their name and email address.
Why Is Your Data Processed and on What Legal Basis?
We process the personal data mentioned above in compliance with the provisions of the EU General Data Protection Regulation (GDPR) and the Federal Data Protection Act (BDSG):
1. To Fulfill Contractual Obligations (Article 6(1)(b) GDPR):
Personal data is processed to provide the services of AnnuCal or to carry out actions requested by the user.
2. As Part of Legitimate Interests (Article 6(1)(f) GDPR):
• Ensuring IT security and operation
• Asserting legal claims and defending against legal disputes
• Conducting business management activities and developing services and products
Are Data and Email Addresses Used for Advertising?
Your data is used solely for the functionality of AnnuCal. It is not used for advertising purposes. Email addresses are not shared with third parties and are only used for emails directly related to the functionalities of AnnuCal, such as notifications and account recovery.
Who Has Access to Your Data?
Data is entered, edited, modified, or deleted by the user in AnnuCal. While provider employees technically have the capability to access data for support purposes, this only occurs following explicit and prior user authorization. Examples of user-authorized access may include:
• Providing technical support to resolve user questions about AnnuCal’s features
• Implementing specific user-requested modifications to data
• Responding to requests for information about stored personal data
Is Data Transferred to Third Parties?
Data transfers to third parties occur as follows:
• Server Hosting: AnnuCal operates on servers located in Frankfurt, Germany, which provide infrastructure such as computing power, internet access, and storage. Personal data is not accessed.
• Single Sign-On (SSO): AnnuCal supports SSO login features provided by third-party services. If users link their AnnuCal accounts with SSO providers, connections are established with the provider’s server during login. Data is only transferred if the user consents in advance. SSO providers include:

Is Data Transferred to Third Countries or International Organizations?
Data is not transferred outside the EU or EEA (European Economic Area), except to the aforementioned SSO providers, for which users must provide explicit consent.
How Long Is Data Stored?
We process and store personal data as long as the user actively uses AnnuCal. Users can delete their data independently at any time. For security purposes, automated backups of all data are created and retained for a maximum of 14 calendar days. After this period, backups are automatically deleted.
What Are Your Data Protection Rights?
As a user, you have the following rights under GDPR:
• Access (Article 15 GDPR): Obtain information about your stored data.
• Rectification (Article 16 GDPR): Correct inaccuracies in your data.
• Deletion (Article 17 GDPR): Request deletion of your data.
• Restriction (Article 18 GDPR): Limit how your data is processed.
• Data Portability (Article 20 GDPR): Transfer your data to another service.
• Objection (Article 21 GDPR): Oppose specific data processing activities.
Additionally, you have the right to file a complaint with a data protection supervisory authority (Article 77 GDPR in conjunction with § 19 BDSG).
Is Data Provision Mandatory?
Providing data in AnnuCal is entirely voluntary. Users decide which data they wish to enter. However, certain features or functionalities may require specific data. AnnuCal clearly indicates when additional information is necessary.
Are Technical Data Collected (Server Log Data)?
AnnuCal automatically collects technical data sent by your browser when visiting the platform. These server logs may include web requests, IP addresses, browser type and language, timestamps, and cookies for session identification.
Are Cookies Used?
Cookies are used for the technical functionality of AnnuCal, such as maintaining user sessions. Without cookies, functionalities like persistent login sessions would not be possible. Cookies are used exclusively for operational purposes and are not used for tracking or advertising.
How Is Consent for Data Processing Obtained?
By using AnnuCal, and specifically when registering a new account, users consent to the processing of their personal data as outlined in this privacy policy.
Information on Your Right to Object (Article 21 GDPR)
You have the right to object to the processing of your personal data for reasons specific to your situation if the processing is based on public interest (Article 6(1)(e) GDPR) or legitimate interests (Article 6(1)(f) GDPR). Following an objection, we will cease processing your data unless overriding legitimate grounds can be demonstrated.
